It also includes information related to your booking, event preferences, and payment, when such information is supplied to or recorded by Nova Event Space while transacting business with you.

When you submit a booking request, sign a rental agreement, or otherwise engage with Nova Event Space, we may collect:
Contact information, such as your name, email address, phone number, and mailing address
Booking details, including your event date, expected guest count, event type, and start/end times
Payment information, including details necessary to process payments via Bank Transfer, PayPal, or Stripe
Vendor information, including proof of insurance and contact details for outside vendors (caterers, florists, DJs, photographers, etc.) you engage for your event
Insurance documentation, where event liability insurance is required for your booking
Photographs or video taken during your event for internal records, and, with your prior written consent, for marketing and promotional purposes
Communications you send us, such as emails, booking forms, or messages related to your event
How We Use Your Information
We use the information we collect to:
Confirm and manage your booking, including deposits, balances, and the security/damage deposit
Communicate with you regarding your event, including scheduling, vendor approvals, and HOA/building rules applicable to your booking
Process payments and issue refunds in accordance with our Terms & Conditions
Verify vendor insurance and coordinate approved outside vendors
Maintain internal records for accounting, safety, and liability purposes
Comply with legal, insurance, or HOA/building management requirements
With your consent, use event photography for marketing and promotional purposes
Sharing of Information
Nova Event Space does not sell your personal information. We may share your information in the following limited circumstances:
With HOA or building management, where required to comply with building rules or to address violations occurring during your event
With approved vendors, to the extent necessary to coordinate your event
With payment processors (such as PayPal or Stripe), solely to process payments
With insurance providers, where event liability insurance is required
As required by law, such as in response to a valid legal request
Alcohol, Guest Conduct & Safety-Related Information
Because Nova Event Space operates on a BYOB basis, we may request confirmation that guests consuming alcohol are 21 years of age or older. The Client remains responsible for verifying guest ages and safe conduct. We do not retain guest identification records beyond what is reasonably necessary to address safety or policy compliance during your event.
Payment Information
Payments are processed through third-party providers (Bank Transfer, PayPal, or Stripe). We do not store full payment card or bank account details on our own systems; these are handled directly by our payment processors in accordance with their own privacy and security practices.
Photography & Marketing
We retain personal and booking information for as long as necessary to fulfill the purposes outlined in this policy, including accounting, legal, insurance, and dispute-resolution purposes, after which it is securely deleted or anonymized.
Changes to This Policy
Nova Event Space reserves the right to update this Privacy Policy at any time. The version in effect at the time of your booking will govern that booking. Material changes will be communicated to you in writing.
